Enrollment Procedures User Guide

Please read through the steps below and confirm the “Handling of Personal Information” statement before beginning enrollment procedures.

 Step 1.Check and prepare the technical requirements for completing enrollment procedures online

You will need to make the following preparations before using this online system for enrollment procedures.

1. Recommended environment

Please check here for details on recommended hardware and software.

2. ID photograph data
  • (1) If you wish to check or substitute your ID photograph
    If you are completing enrollment procedures under one of the admissions methods shown below, please check the ID photograph data that you uploaded at the time of application. If you wish to substitute a different photograph, you will be able to upload it here. However, please be sure that the photograph you upload can be recognized by a third party as showing the same individual as was shown in the one you provided at the time of application.
    Applicable admissions methods:
    Admissions Fostering Individuals to Change the World: Logical Flower Chart Admissions, Comprehensive Evaluation Method, Pathway for Students with Extracurricular Achievements, Pathway for Returnee Students, Pathway for International Baccalaureate(IB) Diploma Students, Transfer (Other Educational Levels, University Level)
  • (2) If you need to upload an ID photograph for the first time
    If you are completing enrollment procedures under an admission method other than those shown in (1) above, please upload an ID photograph to this online enrollment system.

Please note that if no ID photograph is uploaded, your enrollment procedures will not be completed. Before undertaking enrollment procedures online, go to an ID photo booth or the like (one which allows you to download your photo in digital form) and have your photo taken on a plain white, blue, or grey background.
You may also take the photo on a digital camera, smartphone, or tablet, provided it satisfies the requirements shown below. (Save the photo to a saved images folder.)
A photograph will need to be affixed separately to the Student Information Card.

ID photograph requirements
Please ensure that your ID photograph file meets the following criteria.

Must be in color, be taken from the front, and show the applicant from the chest up, with no headwear, no background scenery, and no border. Must be taken on a plain white, blue, or grey background.Minimum file size is 100KB and maximum is 3MB. The file must be in JPEG, PNG or GIF format (filename extension .jpg / .png / .gif) *The following are examples of photographs that are not accepted.

  • Not facing the front (facing sideways, etc.)
  • Background scenery is visible (actual scenery or pattern)
  • Lighting is reflected (the reflection obscures part of the face or glasses)
  • Image is out of focus or blurred owing to vibration
  • Hair is hanging over and obscuring the eyes
  • Face is in shadow
  • Shadow is visible in the background
  • Contour of face is obscured by muffler or scarf
3. Printer

Please have a printer that can print documents on white A4 paper. If you do not have a printer at home, use one at school, a convenience store, or other location where you can print PDF files.

 Step 2.Check the information required for enrollment procedures.

Before beginning your enrollment procedures online, please be sure to check the Handbook of Enrollment procedures.
Enrollment procedure periods vary depending on your admissions method.
Enrollment procedures involve not only this online process but also payment of fees and posting of documents. Please read through the Handbook of Enrollment Procedures carefully, and ensure you complete all procedures within the required time-frame.

Please check the enrollment procedures schedule and information on online enrollment procedures before you move on to Step 3.

Registration of online enrollment procedures can be done from 13:00, the day after the Notification of Acceptance.
※In case the day after the Notification of Acceptance is Sunday or Holiday, the next day will be applicable.
 

 Step 3.Register your personal information

Please enter the required information in accordance with the instructions in the online enrollment procedures system and referring to the Handbook of Enrollment Procedures.
If anything is unclear, check the Frequently Asked Questions / Inquiries.

 Step 4.Upload your ID photograph

Upload the ID photograph that you prepared in Step 1, “Check and prepare the technical requirements for completing enrollment procedures online”.

    If you are completing enrollment procedures under one of the admissions methods shown below, please check the ID photograph data that you uploaded at the time of application. If you wish to substitute a different photograph, upload it here.     If you are completing enrollment procedures under an admission method other than those shown in (1) above, please upload an ID photograph to this online enrollment system.

 Step 5.Pay enrollment procedure fees

Pay the fees by the due date by credit card, via Pay-easy at a financial institution ATM, through online banking, or at a convenience store. Alternatively, download a bank transfer request form and use it to pay over the counter at a bank, credit unit, or other financial institution that handles wire transfers (other than Japan Post Bank).
*You may need to pay a processing charge in addition to the actual fees due.

 Step 6.Complete AP House residence procedures

If you have been accepted for residence in AP House, please pay the "AP House Entrance Fee" by the specified deadlines. (same as the second stage enrollment procedure payment period)

 Step 7.Send enrollment documents by postal mail

Refer to the Handbook of Enrollment Procedures and use the envelope provided by APU to send your enrollment documents by express simplified registered postal mail by the deadline specified.

   Completion of enrollment procedures

Once you have followed all the steps above, enrollment procedures are complete.

Handling of Personal Information

Before you begin online enrollment procedures, please be sure to confirm the following statement on the handling of personal information.

Handling of Personal Information at Ritsumeikan Asia Pacific University

 

 Ritsumeikan Asia Pacific University (hereinafter called “the University”) handles personal information obtained by the University from prospective students as set forth below, in compliance with laws and regulations relating to the protection of personal information and the Ritsumeikan Trust Personal Information Protection Regulations.

<Purpose of Use>
 Personal information on students will be used for the following purposes:

  1. Provision of learning support for students, etc. including enrollment record control, registration control, performance control, and tuition fee information control
  2. Provision of living support for students, etc. including life consultation, after-school activity support, scholarship control, and health control
  3. Provision of career and job search support for students, etc. including career guidance, job search activity support, and career and job search information control
  4. Consulting with guardians about registration, performance, and careers including notifying guardians of performance
  5. Execution of entrance exam business and admission procedure business
  6. Sending various guides for Ritsumeikan Asia Pacific University and other schools established by The Ritsumeikan Trust
  7. Managing use and security control of school facilities and equipment
  8. Issuance of certificates
  9. Provision of necessary information to partner universities within Japan and overseas based on academic exchange agreements

  14. University assessments (self-assessment, third-party assessment, accreditation, etc.), and statistical research
  15. Education, research, and FD activities
  16. Other purposes related or incidental to each of the above

<Management of Personal Information>
 Personal information on students is securely managed in line with laws and regulations and the Ritsumeikan Trust Personal Information Protection Regulations so that it is not leaked, lost, or damaged.

<Outsourcing Services Associated with the Provision of Personal Data>
 The University may outsource certain work that includes the handling of personal data to a third-party entity having executed an agreement on the proper handling of personal information.

<Provision of Personal Data to Third Parties>
 The University does not provide personal data to groups other than The Ritsumeikan Trust without the prior consent of the subject; provided, however, that information may be provided without the consent of the subject in cases where appropriate provision is required under laws and regulations.

<Shared Use of Personal Data>
 The University, as the party responsible for the management of personal data by The Ritsumeikan Trust, may share personal data in the following cases. Other cases in which personal data is shared will be clearly indicated when collecting data.

Personal Data on Students and Parents (Guarantors)
